The Reality

The product had clearly evolved without a unified design system. Features had been added incrementally over several years, each solving immediate needs but creating compounding friction for users who worked in the system daily.

“This is common in mature enterprise systems. The issue wasn't visual polish, it was clarity and predictability. Users were relying on memorisation rather than recognition.”

Key challenges identified

1

Inefficient workflows

Daily tasks required 8-10 clicks that could be reduced to 3-4. This compounded across dozens of daily actions.

2

Poor hierarchy

Critical deadline information buried alongside minor administrative details with no visual distinction.

3

Navigation confusion

Admin features mixed with daily tools meant everyone waded through irrelevant options.

4

Rigid interface

Fixed layouts with no accommodation for different working styles or task contexts.

The situation

A mature product with years of features added incrementally. Users knew it worked, but complained it was slow to use and hard to navigate.

The problem

The interface had grown organically without a cohesive structure. Power users were slowed down by inefficient workflows. New users couldn't find basic features. Renewal deadlines, the most critical data point, weren't prominently displayed.

The audit focused on understanding real usage patterns and identifying high-impact improvements that wouldn't require a complete rebuild.

Problems Identified

Structured analysis of key usability issues, prioritised by expected impact on daily efficiency.

High Impact

Repeated tasks require too many steps

Daily workflows involved 8-10 clicks that could be reduced to 3-4. The friction appeared small individually but compounded significantly across workflows.

Impact: Users estimated losing 30+ minutes daily to unnecessary navigation.

Recommendation: Add quick actions bar, keyboard shortcuts, and remember last-used settings per user.

High Impact

Information hierarchy unclear

Critical data buried alongside minor details. Renewal deadlines, the most important information, had the same visual weight as administrative notes.

Impact: Missed deadlines due to information overload. Users scanning instead of finding.

Recommendation: Restructure layouts with clear primary, secondary, and tertiary information zones.

Medium

Navigation designed for one user type

Admin features mixed with daily tools. Different roles have fundamentally different needs that weren't accommodated.

Impact: Users wade through irrelevant options to find their tools.

Recommendation: Role-based navigation views. Show relevant features prominently.

Medium

No interface flexibility

Fixed layouts don't adapt to different working styles or contexts. Power users wanted density; occasional users wanted guidance.

Impact:Users can't optimise their workspace for their actual tasks.

Recommendation: Introduce customisable views, collapsible panels, and saved layouts.

“The structure had evolved organically over time. Each individual addition made sense, but collectively they created a cognitive maze. Users had adapted by memorising paths rather than understanding the system.”

Improvements Delivered

01

Streamlined workflows

Reduced daily task completion from 8-10 clicks to 3-4. Added quick actions accessible from any screen. Implemented keyboard shortcuts for power users. The system now remembers user preferences and last-used settings.

02

Improved information hierarchy

Restructured key screens with clear visual zones. Critical information, especially renewal deadlines, now immediately visible. Secondary details accessible but not competing for attention.

03

Role-based navigation

Different views for different user types. Admins see admin tools. Daily users see their tools. Everyone finds what they need faster without wading through irrelevant options.

04

Flexible interface

Introduced theming system for client customisation. Collapsible panels and saved layouts allow users to adapt the interface to their workflow and information density preferences.

Outcome

50%

Reduction in clicks

For common daily tasks. Users estimated saving 30+ minutes per day.

Clearer

Information hierarchy

Critical deadlines now prominent. Users find instead of scan.

Flexible

Adaptive interface

Different users can now optimise for their specific needs and working styles.
